Digital Form Templates

Use this article to learn how to create and manage digital forms from the dashboard.

You can create and manage digital form templates directly from the Titan GPS Dashboard.

How to create and manage digital forms

Create a Digital Form Template

  1. Select FieldDocs from the application bar.

  2. Click Digital Forms.

  3. Select Add Form.

  4. Enter a Form Name.

  5. Select Requires Project if you are using projects.

  6. Click Add Page button.

  7. Enter a Page Name.

  8. Select a Page Type you can select either an Information Page, Inspection Page, or Signature Page Type. You can create and use an unlimited number of pages. Each page type has different field types available.

    The Information Page Type has the following field types available that you can choose from:

    1. Check List
      Allows a user to choose one or more items from a list.

    2. Date
      Allows a user to choose a date from a date picker.

    3. Image
      Allows a user to take or upload an image.

    4. Location and Time Stamp
      Allows a user to tag their current location.

    5. Number
      Allows a user to enter a number.

    6. PDF Attachment
      Allows a user to review a document.

    7. Pick List
      Allows a user to choose one item from a list.

    8. Text Box
      Allows a user to enter a comment.

    9. Time
      Allows a user to select a time from a time picker.

    The Inspection Page has the inspection checklist field type available. This field type allows a user to pass or fail inspection.

    The Signature Page has the signature type fields for:

    1. Single Signature
      Allows a user to sign the form.

    2. Signature list
      Allows a user to collect multiple signatures on a form.

  9. Click Save.

    Note: Once you hit save, the form will not be available for your workers or drivers immediately. This allows you to save your progress and return to finish form creation later.


Manage Digital Form Templates

  1. Select FieldDocs from the application bar.

  2. Click Digital Forms.

  3. In the Digital Form Manager, you can:

    1. View Digital Form Templates details

    2. Edit Digital Form Templates

    3. Copy Digital Form Templates

    4. Delete Digital Form Templates

    5. Create Digital Form Templates

    6. Submit Digital Form Templates

    7. Revert Digital Form Templates

  4. Select to customize a Digital Form Template settings.

    You can customize:

    1. Form Approval (required or not required)

    2. The Form Number Prefix

    3. Notification Email List

    4. Notification FieldDocs In App Message


Manage Digital Form Permissions by User Role

  1. Select FieldDocs from the application bar.

  2. Click FieldDocs Settings.

  3. Navigate to Digital Form Permissions.

  4. Click the edit pencil to select the Allowed Digital Form Templates for each User Role.

  5. Click Save.

    Note: You will need to ensure that each User or Driver on your account has the correct user role configured to see the digital form in the FieldDocs App.


Manage Digital Form User Role and User Permissions

  1. Hover your mouse over Lists from the app bar.

  2. Select Users.

  3. Select a User.

  4. Tap the list icon in User Information.

  5. Select Edit this User.

  6. In the Edit a User window set the User Role.

  7. In Permissions scroll to Operations.

  8. Use the checkboxes to set the permissions. The following Digital Form permissions are available:

    1. Configure Digital Forms
      Allows a user to manage form templates

    2. View My Own Digital Forms
      Allows a user to view only their digital forms

    3. View All Digital Forms

      Allows a user to view all digital forms

    4. Edit My Own Digital Forms
      Allows a user to edit their digital forms

    5. Edit All Digital Forms
      Allows a user to edit all digital forms

    6. Unsubmit Digital Forms
      Allows a user to unsubmit a submitted digital form

    7. Delete Digital Forms
      Allows a user to delete a submitted digital form

    8. Approve Digital Forms
      Allows a user to approve a submitted digital form

    9. Setup Kiosk Mode
      Allows the user to be automatically logged out once a digital form is submitted

  9. Select Save.


Manage Digital Form User Role and Driver Permissions

  1. Hover your mouse over Lists from the app bar.

  2. Select Drivers.

  3. Select a Drivers.

  4. Tap the list icon in Driver Information.

  5. Select Edit Driver.

  6. In the Edit Driver window go to User Configuration.

  7. In User Information set the User Role.

  8. In Permissions scroll to Operations.

  9. Click the checkboxes to set the permissions. The following Digital Form permissions are available:

    1. Configure Digital Forms
      Allows a user to manage form templates

    2. View My Own Digital Forms
      Allows a user to view only their own digital forms

    3. View All Digital Forms

      Allows a user to view all own digital forms

    4. Edit My Own Digital Forms

      Allows a user to edit their own digital forms

    5. Edit All Digital Forms

      Allows a user to edit all digital forms

    6. Unsubmit Digital Forms

      Allows a user to unsubmit a submitted digital form

    7. Delete Digital Forms

      Allows a user to delete a submitted digital form

    8. Approve Digital Forms

      Allows a user to approve a submitted digital form

    9. Setup Kiosk Mode

      Allows the user to be automatically logged out once a digital form is submitted

  10. Select Save.
