The Pre-Schedule Jobs feature in the Dispatch workflow allows users to schedule jobs ahead of time, helping improve planning and task coordination. By selecting a future date during job creation, users can queue jobs for assignment in advance. This improves visibility into upcoming work, reduces reliance on same-day scheduling, and ensures better organization across teams.
This guide will walk you through how to pre-schedule a job from the web platform.
Note: To ensure full functionality of this feature, all users of the Titan GPS FieldDocs application must update to the latest version of the app.
Pre-Scheduling a Job
When creating a new job, dispatch users can now label the job as "pre-scheduled."
From the Titan Dashboard navigation (top of map) in the Titan Web app, click New Job.
Note: If your Dashboard does not display the Dispatching model on the side, hover your mouse over FieldDocs in the top navigation bar, then click Dispatching and Routing. In the dispatching dashboard, select “add job.”
The New Job panel appears.
In the New Job panel, complete the available fields:
Job Name: Use the entry field to enter the name of the job.
Note: Avoid the use emojis when entering a job name.
Form: Use the drop-down to select a form, if required.
Note: If a form is required, ensure the driver's profile has Forms enabled.Note: If a form is required for this job, the driver will be prompted to complete the form once all stops in the job are completed. This will result in storing this form in the digital “forms section” of Titan, as well as a PDF that will be saved in the dispatched job in the “Dispatching Dashboard.”
Check the box next to "Pre-Scheduled Job."
Enter a future date in the Pre-Schedule Date field or use the calendar to select a future date.
Click Next.
The Add Stops panel appears.
Complete the available fields (fields marked with an * are required).
Click Save Job.
The pre-scheduled job will sit in an "in-queue" status in the Dispatching & Routing panel until it is assigned to a driver/vehicle.
Using the filter, find the job in "in-queue" status for a selected date or date range.
When ready to dispatch the job, click Dispatch job. You can select a single driver, all drivers, or a specific vehicle.
To dispatch by Driver:
Click the radio button next to "Driver."
Locate a Driver using the list or the Search field and check the checkbox next to the applicable selection. You may also check the box next to "All Drivers" to dispatch the job to all drivers.
To dispatch by Vehicle:
Click the radio button next to "Vehicle."
Check the checkbox next to the applicable vehicle by using the Nearest Asset section, the Search field, or the list of Vehicles. You may dispatch the job to all vehicles by checking the box next to "All Vehicles."
Click Select Route.
The Route Information panel is shown. Route information is displayed in the chronological order that stops were entered in by the user. Clicking the cart icon opens the See Details drawer to provide stop details.
From the Route Information panel, select the route.
Note: If more than four stops are included in the job, Smart Route is available for selection.
Click Dispatch Job.
The assigned driver receives notification of the dispatched pre-scheduled job and can reject or accept the job by tapping Reject or Acknowledge on their mobile app.
If the driver rejects the pre-scheduled job, the job reverts to "in-queue" status at the top of the dispatch user's job list.
If the driver accepts the pre-scheduled job, it will be added to their job list.
Note: A pre-scheduled job is available to the assigned driver as of midnight on the pre-schedule date based on the driver's local time zone.
