Question

Answer

How do I create a service alert for one asset?

From the Service and Maintenance screen, select the asset's name to open its Asset Details panel, then select + Create Alert to set the alert name, interval, and notification details. For step-by-step instructions, see Creating Service Alerts.

How do I create the same alert for several assets at once?

Select the assets or groups you want to include, then use + Create Bulk Service Alert to apply one alert — and optionally one shared interval via Set for All — across your entire selection at once. For step-by-step instructions, see Creating Service Alerts.

Is there a limit to how many assets I can include in a bulk alert?

Yes, up to 100 assets can be included in a single bulk alert action.

What if my selected assets use different units (km vs. mi)?

No problem — the Set for All dialog automatically converts your entry to each asset's own unit settings. You can enter one value (for example, 4,000 km) and it will apply correctly even to assets tracked in miles.

Will bulk alerts give every asset the same Next Service date?

Not necessarily. While all selected assets share the same interval, the Next Service date is calculated individually for each asset based on its own current odometer, engine hours, or date, so due dates may differ across assets even with the same interval applied.

What do Overdue, Due Soon, and Pending mean?

Every alert moves through three statuses as it approaches its next service value: Pending (the service isn't due yet), Due Soon (the asset is approaching its next service value, within the threshold window you've set), and Overdue (the asset has passed its next service value). These statuses are summarized at the top of the Service and Maintenance list.

How is "Due Soon" determined?

It's controlled by a global threshold setting called Set for All, opened from the gear icon next to the search box on the Service and Maintenance screen. It lets you choose which measures to use (Odometer, Engine hrs, Date range) and how close to the next service value counts as Due Soon.

How do I edit an alert?

Select the ⋮ icon next to the alert in the asset's Deadlines list and choose Edit to update any field, then save your changes.

How do I delete an alert?

Select the ⋮ icon next to the alert and choose Delete, then confirm the prompt. Keep in mind this permanently removes the alert's entire schedule and history for that asset. If the service item still applies, editing the interval instead of deleting is usually a better option.

How do I mark a service as completed?

Select the ⋮ icon next to the alert and choose Complete, then confirm the date of service and recurring schedule details. This updates the Last Service value and resets the alert's status to Pending based on the new Next Service calculation.

Will I lose my existing maintenance history with this update?

No. Your historical maintenance data remains fully available and is not lost or altered by this update. Existing intervals can also be updated with more accurate Last Service information if needed.

Can I export my service and maintenance list?

Yes. Select the download icon next to the search box on the Service and Maintenance screen to export the currently displayed list, including odometer, engine hours, and status counts.

Is there a more detailed report available?

Yes. From the top navigation bar, select Reporting and search for "maintenance" to choose from three report formats, select your assets and date range, then export or run the report.

Can I filter my asset list to show only Overdue, Due Soon, or Pending assets?

Yes. Select the Service status filter (the wrench icon) next to the search box, then check any combination of statuses to narrow the list. Select Clear to return to the full list.
